Privacy Policy

We're a small Australian business. We collect only the information we need to talk to you, deliver our services, and stay compliant — and we don't share or sell it. If you'd rather we didn't hold any of your information, just ask.

1. Who we are

AI Integration ("we", "us", "our") is an Australian-based AI consultancy that designs, builds and deploys AI applications for businesses. This policy explains how we handle personal information collected through our website (aiintegration.com.au), during sales conversations, and in the course of delivering client projects.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What information we collect

We collect personal information in the following ways:

  • When you request information: name, work email, phone number, company, and the details you choose to share about your project.
  • When you call us: phone number (via your caller ID) and anything you tell us during the call. We do not record calls without your consent.
  • When you visit the site: standard analytics data — pages viewed, approximate location (city level), device type, browser, and referring source.
  • During an engagement: business information you provide to enable us to scope, build, or deploy your project. We avoid collecting personal information about your customers unless strictly required for the build.

We do not knowingly collect information from anyone under 18.

3. How we use your information

We use the personal information we collect to:

  • Respond to enquiries and arrange follow-up conversations.
  • Prepare quotes and proposals.
  • Deliver and support the services you've engaged us for.
  • Send occasional service-related communications (e.g. project status, invoices).
  • Improve our website and offering through aggregated analytics.
  • Meet our legal, tax and regulatory obligations.

We do not use your information for marketing without your consent, and we don't add you to mailing lists unless you ask.

4. Sharing and disclosure

We do not sell your personal information. We share it only in these limited cases:

  • Service providers we rely on to operate (e.g. email hosting, our CRM, accounting software). These providers are bound by confidentiality and act only on our instructions.
  • AI model providers (e.g. OpenAI, Anthropic, Google) where we process information through their APIs as part of delivering your build — see section 5.
  • Legal requirements — if we are required to disclose information by law or by a regulator.

We do not transfer your personal information overseas except via the cloud and AI services described above, all of which contractually meet APP 8 cross-border standards or equivalent.

5. AI processing

Where we use AI models to process your information (for example, drafting a response, summarising a document, or generating analysis), we apply the following defaults:

  • We use enterprise/business tiers that do not train on your data.
  • We strip or pseudonymise personal information where it isn't required for the task.
  • For client engagements involving sensitive data, we deploy private endpoints or on-prem models as required.
  • We maintain audit logs of model calls so you can see what was processed and when.

6. Storage and security

Your information is stored on Australian or trusted overseas cloud infrastructure with reputable providers (currently including AWS, Google Cloud and Microsoft 365). We protect it using industry-standard measures including encryption in transit (TLS) and at rest, access controls, and the principle of least privilege.

We retain personal information only as long as we need to in order to provide our services, meet legal obligations, or resolve disputes. When information is no longer needed, we delete or anonymise it.

7. Cookies and tracking

Our website uses a minimal set of cookies for essential functionality and aggregated analytics (e.g. understanding which pages are popular). We do not use third-party advertising trackers. You can disable cookies in your browser settings — the site will continue to work normally.

8. Your rights

Under the Privacy Act, you have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate, out-of-date or incomplete.
  • Request deletion of your information, where we're not legally required to keep it.
  • Opt out of any non-essential communications.
  • Lodge a complaint with us, or with the Office of the Australian Information Commissioner (OAIC).

9. Changes to this policy

We may update this policy from time to time — for example, when we add a new tool, change a process, or in response to legal change. When we do, we'll update the "last updated" date at the top of the page. Material changes will be flagged on our home page for at least 30 days.
